POLICY INFORMATION

 

To officially reserve your event date, a 50% non-refundable retainer is required. Once the retainer is received, your date, design preparation, logistics, and vendor coordination will be secured exclusively for your event.

Remaining Balance

  • Baja California clients: Remaining balance is due in cash on the day of the event.

  • Yucatán clients: Remaining balance must be fully settled 5 days prior to the event date.

  • PayPal

  • Stripe Invoice

  • BBVA Mexico Bank Transfer

Policies

All payments made are non-refundable, as preparations, reservations, scheduling, vendor coordination, and logistics are immediately initiated and secured specifically for your event.

Event details, location, and design selections must be finalized prior to the event date to ensure smooth coordination and execution.

Any last-minute changes, additions, upgrades, or modifications may be subject to additional fees depending on availability, logistics, and preparation already completed.

Rescheduling Policy

Rescheduling requests are subject to availability and may require additional fees depending on the new date, location, vendor availability, and logistical adjustments required.

Outdoor & Weather Policy

Outdoor events are subject to weather conditions and environmental factors. In the event of unsafe or unfavorable weather conditions, we will work closely with the client to determine the best available alternative solution.

Timing & Delays

Delays caused by late arrival, venue restrictions, guest interference, or lack of communication may affect setup timing and the overall experience flow. Hiraya Experience is not responsible for lost event time due to client-related delays.

Damage Responsibility

Any damages caused by the client, guests, or third parties to rentals, equipment, décor, florals, candles, furniture, or event property will be the responsibility of the client.

Overtime & Additional Requests

Any overtime, additional services, extended setup time, waiting time, or requests outside the original agreement may require additional payment.

Vendor & Décor Substitutions

Hiraya Experience reserves the right to make equivalent substitutions in florals, candles, décor elements, rentals, or vendors if necessary due to availability, weather, transportation, or unforeseen circumstances while maintaining the overall aesthetic and quality of the experience.

Venue & Permit Responsibility

Certain locations may require permits, reservations, valet fees, parking fees, beach access fees, or venue coordination. Any required fees not included in the agreed proposal remain the responsibility of the client unless otherwise stated.

By submitting payment, the client acknowledges and agrees to all policies stated above.
